Privacy Policy

ModaFlow ("we," "us," "our") operates the website modaflow.net and the cloud-based fashion ERP platform accessible at modaflow.net and at tenant subdomains (yourname.modaflow.net). We are committed to protecting the personal data of our users, their customers, employees, vendors, and any other individuals whose information is processed through our platform. This Privacy Policy explains what data we collect, how we use it, how we store and protect it, who we share it with, and what rights you have over it. By using ModaFlow, you agree to the practices described here.

1. Who we are

ModaFlow is a Software-as-a-Service (SaaS) platform operated by ModaFlow, a Michigan limited liability company headquartered in Ann Arbor, Michigan, USA. We act as the data processor for the data our business subscribers ("Tenants") enter into the platform. Each Tenant is independently responsible as the data controller for the personal data of their own customers, employees, and vendors stored within their ModaFlow account. 2. What data we collect

  • 2.1 Account and subscriber data — name, business name, email, phone number, and billing information, collected at registration to create and manage your account, send invoices, and communicate about your subscription.
  • 2.2 Tenant business data — everything you enter into your ModaFlow account: design records, customer profiles, employee records, vendor details, production and inventory data, and financial records. This data belongs to you; we process it on your behalf.
  • 2.3 Usage data — log data, device information, and interaction data collected automatically to operate, secure, and improve the platform.
  • 2.4 Flow Automation data — messages sent and received through the platform's WhatsApp, email, and SMS integrations (vendor procurement requests, production task assignments, logistics confirmations, customer updates) are processed to run the automated workflows you configure.

3. How we use data

Provide/maintain/improve the platform; process transactions and billing; send service and (opted-in) marketing communications; customer support; detect/prevent fraud, abuse, or security issues; comply with legal obligations.

4. Legal basis for processing (where applicable)

Where GDPR or similar frameworks apply, common lawful bases include: contract (processing customer orders, payroll, vendor agreements), legitimate interests (maintaining business records, vendor and production communications), and consent (where you've obtained specific consent from your own customers, e.g., for marketing).

5. How we share data

We do not sell personal data. We share data with: sub-processors who help us deliver the platform (cloud hosting, payment processing, email delivery, WhatsApp/SMS providers — all bound by data processing agreements); law enforcement/regulators where required by law; successors, in the event of a merger, acquisition, or sale of assets, with notice provided where required.

6. Data storage and security

Tenant data is stored in an isolated database per tenant (database-per-tenant, not a shared schema), so one Tenant's data is never mixed with another's. See the Security page → for technical detail.

7. Data retention

We retain account and Tenant data for as long as your subscription is active, plus a reasonable period afterward for legal/accounting/contractual obligations, after which it is deleted or anonymized per our retention schedule.

8. Your rights

Depending on your location, you may have rights to access, correct, export, restrict, or delete your personal data. If you are a Tenant's customer, employee, or vendor, contact that business directly — they are the data controller. If you are a ModaFlow subscriber contacting us about your own account data, email privacy@modaflow.net; we will respond within one month.

9. International data transfers

Some sub-processors may process data outside your home country. We rely on appropriate safeguards, including Standard Contractual Clauses and equivalent transfer mechanisms.

10. Children's privacy

ModaFlow is a business platform and is not directed at, or intended for use by, children.

11. Changes to this policy

We may update this policy from time to time. Material changes will be communicated to Tenants in advance of taking effect.
